Emailing reports and dashboards is one of the most useful features for integrating InsightSquared into your business. Reports and dashboards can be emailed once or scheduled on a repeating basis.

One-Time Report & Dashboard Delivery 

To send a report or dashboard one time:

      1. Navigate to the report or dashboard you want to send.
      2. Make sure you've set the date range, added any filters you want, and selected or deselected any checkboxes. 
      3. Click the Email button  on the right sidebar.
      4. Enter the email addresses that should receive the report. 
      5. Edit the subject line, which will be pre-populated with the name of the report or dashboard.  (optional) 
      6. Leave "Once" selected as the frequency.
      7. Enter a message. (optional) 
      8. If you want to include the full data table as a .CSV attachment, use the Attach data as CSV? checkbox. (optional, report only)
      9. Click Send.
Warning: If the report table is paginated, only the first page will appear in the email.

Recurring Report & Dashboard Delivery

To schedule a report or dashboard for recurring delivery: 

  1. Navigate to the report or dashboard you want to send.
  2. Make sure you've set the date range, added any filters you want, and selected or deselected any checkboxes. 
  3. Click the Email button  on the right sidebar.
  4. Enter the email addresses of the people who should receive the report.
  5. Select a frequency.
  6. Edit the subject line, which will be pre-populated with the name of the report or dashboard.  (optional) 
  7. Enter a message. (optional) 
  8. If you want to include the full data table as a .CSV attachment, use the Attach data as CSV? checkbox. (optional, report only)
  9. Click Send.
Note: Selecting 'Weekly' for the frequency will allow you to select which days of the week the report should be sent.

Selecting 'Monthly' will let you choose whether the report should be sent on the first day of the month or any of the last three days of the month.
Warning: Using a Custom date range in the datepicker when setting up a scheduled report will send the report with that exact date range every time, which we do not recommend.

FAQs

What will the user receiving the report see?

If the report is smaller than ~650K in file size, both the chart and the table will be included in the email.

If it is larger than 650K, it will appear as an attachment. This is because many mail programs do not allow inline images above a certain size. In both cases you can save the image to your local computer for cropping or pasting into other programs like Powerpoint.

If a table is long and paginated, only the first page will appear. To include all of a long table, use the Attach data as a CSV? checkbox.

Will recipients be able to click into the report in their email to get more detail?

Users that have access to InsightSquared can click on the report email to log in and view that specific report. Users without login access can only see the email and its attachments.

How can I change the subject, recipients, or frequency of a scheduled email?  

You can change the subject, recipients, or frequency at Settings > Scheduled Reports

  • How can I change the 'From' user on a scheduled report?  The report and "To" list is still accurate, but the user that "Created" the report is no longer with the Organization.

  • Hi Mitchel, 

    Good question.  A scheduled report should continue to send even after the original sender is no longer active in your account.  

    That being said, if you'd rather the email send from an active employee you will actually have to reschedule the email (via the drill on the settings page: https://clients.insightsquared.com/settings/scheduled_reports/) and then delete the original.  

    Sorry for the hassle, I'll keep this in mind as we consider updates to this settings page.
