Adding a New Employee to InsightSquared

There are three different options for adding someone to InsightSquared: 

1. Pull in an employee's data without giving them access to log in to InsightSquared.

2. Allow a user to log in to InsightSquared without pulling in any of their data.

3. Pull in their data and allow them to access InsightSquared's reports.

Once you've decided which one is the right fit for your scenario, follow the steps below to get the set up. Don't forget to scroll down to the Next Steps section for additional actions that apply to all new users. 


1. Pull in an employee's data without giving them login access.

  • Make sure the employee is enabled in your CRM (Salesforce) or ATS (Staffing) system.
  • Go to Settings > Licensing & Data Owners > Licensing, where they should be showing up as an Active User.
  • Check the box next to the name of the employee you'd like to activate.
  • Click the Save Licensing button at the top of the page.
  • We'll start pulling that user's data on your next update.

If you have used up all of your licenses, you will not be able to select more from this page. Click on the Buy More Licenses button to add additional licenses. 

Don't forget to make sure your new employee has the appropriate employee tags so they show up in the correct reports. 

2. Allow a user to log in to InsightSquared without pulling in any of their data.

  • Go to Settings > Logins and Access > Logins. 
  • Click the yellow Add Custom Login button.
  • Enter their name and email address. This must be a unique email address that is not currently used for any InsightSquared user or data owner. 
  • They will receive an email with directions on how to log in for the first time.

3.Pull in their data and allow them to access InsightSquared's reports.

  • Make sure the employee is enabled in your CRM (Salesforce) or ATS (Staffing) system.
  • Go to Settings > Licensing & Data Owners > Licensing, where they should be showing up as an Active User.
  • Check the box next to the name of the employee you'd like to activate.
  • Click the Save Licensing button at the top of the page.
  • Go to Settings > Logins & Access > Logins and find your new user in the list of Built-In Users.
  • When you mouse over the grey Disabled button in the Status column next to their name, you will be prompted with a green 'Enable?' query. Click that to enable your new user in InsightSquared!
  • They will receive an email with directions on how to log in for the first time. If they're not seeing it right away, make sure they check their spam/junk mail.
  • We'll start pulling their data on your next update.

Don't forget to make sure your new employee has the appropriate employee tags so they show up in the correct reports.

Glossary

  • Licenses: A license is required for each individual user whose data you'd like to pull from your source system into InsightSquared.
  • Active Accounts: These are user accounts that are enabled in your source system. Pulling data from these accounts into InsightSquared requires licenses.
  • Queues: Or groups, are non-employee owners of entities in your source data. For example, Leads are often owned by groups before they transfer ownership to an employee. Including data from these groups does NOT use a license.
  • Inactive Accounts: User accounts that are disabled in your source system. Including data from these accounts does NOT use licenses.
  • Custom Users: Users given login access that are not in your source data and therefore have no data pulling into InsightSquared.
  • Licensed Data Owners: These InsightSquared logins are automatically detected and imported from your source system, but will not be given access to InsightSquared until you manually enable them. They must have a unique email address to be enabled for InsightSquared login because that email becomes their InsightSquared login ID.
